Matter/Case Management
One place to manage everything associated with a Matter/Case or Entity. Every piece of information—notes, contact information for everyone involved in the Matter/Case, case development information, legal research, correspondence, pleadings, evidence, court calendars, task lists, statutes of limitations and other critical deadlines, time and expense entries, budgets, and emails—is automatically placed in the right electronic case file.
Intake Engine
The most advanced and flexible event and criteria based case intake tools available on the market today allowing organizations to create new Matter/Cases based on select criteria. The organization can elect to have a minimal number of items required to create and open a Matter/Case with the case number auto assigned and assignment of the Matter/Case. Intakes are created based on User, Law and Matter/Case type, and are wholly configurable based on the implementation requirements of the customer.

Key information about parties, judges, historical events, or substantive and procedural expertise do little good locked away in someone’s brief case, file cabinet, or memory. That information should be shared for the benefit of the entire agency.
Document Management
Store incoming and outgoing documents, and, manage them all with powerful filtering and full-text searching functionality. Document Management also provides for version control and access control. With a complete document management system integrated into the solution every document (including slide shows, scanned images, spreadsheets, audio/video clips, transcripts and other exhibits) can be found within seconds under its associated Matter/Case.
Document Assembly
Create and combine components for instant form, letter, pleading or contract generation. Simply choose the components and identify the contacts; the system instantly merges this information to generate a document within seconds. Through the use of Microsoft® Word document creation is automated by merging Matter/Case information with advanced word processing templates.
Entity Management
The AutoMon solution allows users to store demographic information about victims, perpetrators, third-party defendants, witnesses, advocates, counsel, experts, judges – literally everyone – and cross-reference that information with the associated Matter/Cases. This is more than simple contact management; this is entity management specific to the management of criminal legal departments.
Calendaring
Choose between an enterprise-wide or individual desktop calendar in a second. Now you have two ways to track and organize your tasks, appointments and critical deadlines. Enterprise-wide calendaring allows you to view every appointment, task, critical date, court event or scheduled phone call in your agency associated with a particular case, entity, attorney, or area of law. The desktop view gives you a quick snapshot of your schedule, the Matters/Cases you've worked on recently and Matters/Cases that have had no activity. Display only your personal information or share access with your supervisor or team. In addition it provides a controlled bi-directional integration with calendar functions in Microsoft Exchange Server with Outlook®.
Time and Expense Tracking
Seamlessly capture time and expenses while you work. With our built-in timer that captures all time spent on a Matter/Case you can pause, stop and edit. Templates shorten data entry time for everyone. Our solution provides the ability to seamlessly track payments and expenses for medical expenses, psychological counseling, lost wages, earning ability, property loss, and other items involved with the action.
Email Correspondence
Create, send, and save email and attachments within your Matter/Case. A simple right-click option allows you to create and send an email directly from the Matter/Case. There's no need to add a subject line, the system can automatically pull the case name and number into the email. Once sent, the email is saved within the Matter/Case for future reference. In addition, drag-and-drop incoming emails and attachments right into the Matter/Case. The email will remain in your Matter/Case management system even if you delete it from your email program.
Workflow
Track, expedite and automate the workflow of every Matter/Case. The system provides an instant view of critical deadlines, who is working on what, the overall progress of the Matter/Case, and automatically generates critical documents. Take the guesswork out of the process. Workflow plans can automate the scheduling of activities—critical dates, appointments, tasks and court events—and the production of work by facilitating the creation of documents, emails and timeslips and executing other Project Management functions triggered at a specific phase of the workflow. You can further standardize the process by creating Workflow templates to use in similar Matter/Cases, whether civil or criminal, to ensure compliance with speedy trial or other procedural limitations, for example.
Our solution’s workflow has built-in conditional logic, date dependency algorithms. This functionality assures process compliance and expedites routine work functions.
Customization Tools
The embedded FormsDesigner tools let you continue to configure your system in a way that is congruent with the overall data structure, ensures system stability and rapid response times, and maintains data object relationships. Add screens and fields, set field-level properties, and assign them for one or more law types without any programming knowledge or experience. FormsDesigner lets any authorized user tailor it to fit the specific needs of any law area.
Reports
Though many “reports” are creatable within the standard user workspace, AdHoc reporting is an included tool intended to simplify getting to and using all of your data. What good is all the data entry and collection if the information is not readily useable? Dozens of canned report templates are included and many more can be added during implementation or later by your own staff (no programming or data base experience required!) for flexible, multiple-level filtered reports. “Listing” reports are readily converted to Excel, PDF, or other formats for further manipulation, and reports are easily emailed.
Discovery Management
The Discovery/Chain-of-Custody Module is the right tool to manage each aspect of the discovery phase from the pre-litigation interview through the recovery of the tangible evidence after appeal. Track all activities by item--whether electronic or tangible, a single document or a computer with millions of documents and emails stored in it--including the contact info for interviewees, notes and analysis of the items, and related parties to each. Keep accurate records of items that are turned over to other custodians by logging each transmittal and every step in the Chain-of-Custody until the item is accounted for in the hands of its owner.
